Payments to Short Term Visitors
Requirements for payment of honoraria to short term visitors
The Comptroller's Office needs a minimum of 30 days advanced notice to generate honorarium payments.
US Citizens or Permanent Residents
- Invitation letter defining financial arrangements (copies to Human Resources, J. Hansen, T. Gaspari, S. Tozzi)
- Social Security Number
- Completed IRS W-9 Form
- Requisition for Payment to Faculty, Staff, Members or Visitors form and W-9 should be sent to Accounts Payable for payment
Non-US Resident Aliens
Honoraria payments for work performed and/or presented within the United States:
- Invitation letter defining financial arrangements (copies to Human Resources, J. Hansen, T. Gaspari, S. Tozzi)
- Visa clearance from Jennifer Hansen for non-US resident aliens
- Social Security Number or ITIN
- Email Comptroller's Office (compoff@ias.edu) for appointment to complete appropriate tax forms
Honoraria payments for work performed outside the United States:
- Invitation letter defining financial arrangements (copies to Human Resources, J. Hansen, T. Gaspari, S. Tozzi)
- Requisition for Payment to Faculty, Staff, Members or Visitors form should be sent to Accounts Payable for payment
Requirements for other payments to short term visitors
Payments being made to reimburse for travel expenses and/or per diem for meals:
- Invitation letter defining financial arrangements (copies to Human Resources, J. Hansen, T. Gaspari, S. Tozzi)
- Visa clearance from Jennifer Hansen for non-US resident aliens
- Completed Request for Travel Reimbursement form with account number submitted to Accounts Payable
- If travel is being reimbursed, original receipts must be attached to the reimbursement form
Payments being made for housing accommodations at IAS during visit:
- Invitation letter defining financial arrangements (copies to Human Resources, J. Hansen, T. Gaspari, S. Tozzi)
- Visa clearance from Jennifer Hansen for non-US resident aliens
- IAS account number must be provided with housing apartment request
